Your team :

As part of Excellium Services Belgium, you will be responsible for keeping the office organized and ensure that everything runs smoothly. You will be also in direct contact with the headquarter to facilitate the accounting process done in Luxembourg. As we’re strengthening the Belgian team, we need you to coordinate all these employees’ actions.

Your mission :

· Answering and directing phone calls to relevant staff
· Scheduling meetings and appointements
· Taking notes and minutes in meetings
· Ordering and taking stock of office supplies
· Being a point of contact for a range of staff and especially the Luxembourgish accounting team
· Preparing documents for meetings and business trips
· Processing and directing mail and incoming packages or deliveries
· Greeting and directing visitors and new staff to the organization
· Writing and issuing emails to teams and departments on behalf of teams or senior staff
· Researching and booking travel arrangements for staff members
· Finding ways to improve administrative processes

  PROFIL

  • Proven experience as an administrative assistant, or office admin assistant
  • Knowledge of office management systems and procedures
  • Working knowledge of office equipment like printers
  • Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
  • Excellent time management skills and the ability to prioritize work
  • Attention to detail and problem solving skills
  • Excellent written and verbal communication skills
  • Fluent in Dutch, English and/or French
  • Strong organizational skills with the ability to multi-task
